Volunteer Job Descriptions
Season-long jobs
Mini Meet Coordinator (four scheduled
mini meets)
Coordinates approximately 10 volunteers needed for each meet (timers, food
help). Can recruit older siblings to be
timers. Plans lunch, keeps track of
reservations and money.
Computer Operator / Data Caller (2
parents per meet)
Responsible for entering times and judges finish order for each heat using the
Hy-Tek system
Ribbon Clerk (2 parents)
Responsible for pulling ribbons for each heat / lane then placing printed label
on ribbon
Concessions Coordinator (2 parents)
Plans concessions for home meets. Communicates with volunteers for each meet and ensures concessions runs smoothly. Count and turn in money to team treasurer.
Volunteer Coordinator (2 parents)
Responsible for making sure all volunteer spots are filled and every family is equipped to volunteer.
Meet-Specific Jobs
Bullpen Coordinator (1 parent per half)
Checks the swimmers who have already reported to the lineup area against the
official heat sheet, lines up the swimmers by heat & lane. Best for experienced volunteer.
Bullpen Age Group Parent (2 parents for each age group per
meet: 6 & U, 8 & U, 10 & U, 12&U)
Responsible for getting swimmers to the lineup area before their event and keep
them together after the event. A new person can do this with a little training.
Clerk of Course (1 parent per half)
Home Meets Only – Final checks of the swimmers behind the blocks using heat
sheets. Someone new who is not afraid to talk to swimmers can do this.
Finish Judge (1 parent per half)
Responsible for determining the finishing order of each heat (will work with
other teams finish judge). Requires some experience with swim meets.
Finish Judge Recorder (1 parent per half)
Home Meets Only - Records reported finish order agreed upon by finish judges. Can be someone new or experienced.
Timers (3 parents per half)
Records time of swimmer in lane they are assigned. Works for new or experienced parents.
Timing Recorder/Runner (1 parent per half)
Responsible for picking up the finish judge form and records times for each
lane then hands form to computer operator. Good for new or experienced.
Announcer (1 parent per half)
Home Meets Only – Calls events, scores, concession information, and news. Best for someone familiar with swim meets.
Event Pole Coordinator (2 parent per half)
Home Meets Only - Flip the event number cards and event name cards on the event
pole, 2 poles (upper and lower). Perfect job for new parents. Please note, the lower event pole is hard to flip if you are shorter than 5'8''.
Set-Up (3 parents per home meet)
Home Meets Only - Will help prepare the pool area for home meet, you will need
to be at the pool by 4:00 pm. Good for new parents.
Clean-Up (4 parents per home meet)
Home Meets Only - Specific duties that need to be performed at the close of
each home meet in order to have the pool ready for the next day. Good for new parents.
Concession Worker (3 parents per half, home meets only)
Home Meets Only - Helps serve food in the concession area.. Good job for new parents.
Parking Lot Security (1 parent per home meet)
Home Meets Only - Responsible for closing the parking area after lot is full.
Position runs from 4:00 – 6:00 pm. Fine for new families but does need a person to be here early
Cones (1 parent per home meet)
Home Meets Only- Responsible for placing orange cones along Winding Woods Drive to prevent people from parking on both sides of the street. The cones may be put out during Tuesday morning practice, and picked up during Wednesday morning practice.
Bathroom Monitor
(2 parents per half, home meets only)
Home Meets Only- Responsible for making sure the bathrooms are kept clean, and bathroom shenanigans kept to a minimum.
